What we process

— Account: name, email, password (stored only as a cryptographic hash), chosen language.

— Business details: company name, VAT number, address — optional, and used to appear on the quote.

— Content: job descriptions, quotes and their line items, your clients' details as you enter them.

— Voice: the recordings you make to dictate a description.

— Location: only the place name — «Perugia», not coordinates — and only with your permission, to estimate prices suited to where you work.

— Technical data: sign-in times, device type, and the IP address stored in non-reversible form for security.

Voice recordings are not kept

The recording is transmitted, transcribed and discarded. It is not stored anywhere and does not remain with the transcription provider beyond the transcription itself.

Artificial intelligence

QuoteDo uses an artificial intelligence system to propose line items and price estimates. We tell you because Article 50 of Regulation (EU) 2024/1689 requires it, and because you should know.

No decision is automated. The model proposes; you decide and confirm the price. In the private build, QuoteDo opens an external channel with a short summary: you choose the recipient and send it, and no complete document is transmitted automatically. There is no processing producing legal effects automatically under Article 22 GDPR.

We do not keep the text sent to the model. For each generation we record only service data: which model answered, how long it took, how many tokens it used, what it cost, and a cryptographic hash of the instructions — not the instructions.

Your content does not train any model.

Legal bases

— Providing the service — account, quote preparation and opening external sharing channels: performance of a contract, Article 6(1)(b).

— Security: legitimate interest, Article 6(1)(f).

— Legal obligations: Article 6(1)(c).

— Location: your consent, revocable at any time in your phone settings.

Who else sees the data

Only providers acting as processors, bound by contract and by our instructions: Amazon Web Services (text processing via Amazon Bedrock and voice transcription, on European Union infrastructure), Cloudflare (system email), and our hosting provider.

We do not sell data and we do not share it for third-party marketing.

Retention

— Account and quotes: as long as you keep the account; deleted within 30 days of closure, save what the law requires us to keep.

— Voice recordings: not kept.

— AI service data: 24 months.

— Security logs: 12 months.

Your rights

You may request access, rectification, erasure, restriction, portability, and object to processing based on legitimate interest.

You may lodge a complaint with the Italian supervisory authority (www.garanteprivacy.it) or the authority of your country of residence.

Cookies

The public site uses no profiling cookies and no analytics that track visitors. The app stores on your device only what it needs to work: the session, your chosen language, and the draft in progress.
